The UNM Medical Group Human Resources department is seeking an energetic, customer service oriented HR Tech to provide operational and administrative support to all HR functions with a changing and growing organization. The successful candidate will work with departments on the employment process from recruitment and advertising through the completion of final hire paperwork; assist departments and employees with the application of policies and procedures; and the preparation of documentation. Related duties include the generation of reports, the development and maintenance of personnel files, administrative and project work, and participation in organizational committees and employee events. Applicants must have strong written and verbal communication skills, Microsoft Office skills and prior experience in an HR department.

SUMMARY

Provides operational and administrative support to the UNM Medical Group's Human Resources and Administration Departments. Supports the human resources function by providing routine advice, assistance and follow-up to UNMMG departments and employees in the application of policies, procedures and documentation and provides technical support to the employment process. Sets up and maintains UNMMG personnel files and records systems and provides general administrative support to HR and UNMMG Administration.

DUTIES AND RESPONSIBILITIES

  1. Supports the employment and termination processes by reviewing and verifying incoming and outgoing documentation for completeness, accuracy and compliance with policies and procedures.
  2. Performs specialized technical tasks such as posting requests, working with departments in the preparation of vacancy announcements, posting of jobs, entering data and preparation of ads.
  3. Receives, reviews, and processes all relevant source data documentation pertaining to hiring, termination, employee status changes, special compensation, and/or special contract assignments for entry into HRIS.
  4. Confirms accuracy and integrity of data entered; maintains data in HRIS systems and databases and assures updated information is available on a timely basis.
  5. Assists in the resolution of policy related, process related or procedural problems and/or inquiries received from department representatives, employees and/or applicants.
  6. Serves as a resource for both UNM and UNMMG policy and procedure interpretation and required paperwork; provides general information and answers routine questions.
  7. Prepares documents and composes routine correspondence and memos as required.
  8. May participate in activities such as organization committees, employee events, new employee orientation, job fairs and development of SOPs.
  9. Oversees new employee paperwork, benefit sign up and required pre-employment checks such as background checks and fingerprinting.
  10. Provides a variety of general administrative support functions such as setting up meetings for HR related functions, researching and gathering information, making travel arrangements, purchasing, etc. as required.
  11. Sets up and maintains personnel file system.
  12. Performs miscellaneous job-related duties as assigned.

MINIMUM JOB REQUIREMENTS

High school diploma or GED with least 3 years of experience directly related to the duties and responsibilities specified. Verification of education and licensure will be required if selected for hire.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

  • Knowledge of human resources processes, procedures and documentation.
  • Ability to make procedural and administrative decisions on sensitive or confidential issues.

  • Ability to manage employee data, utilizing an automated human resources information system.
  • Strong written, verbal, and interpersonal communication skills.

  • Ability to gather data, compile information, and prepare reports.
  • Records maintenance skills.
  • Skill in the use of personal computers and related software applications.

CONDITIONS OF EMPLOYMENT

  • Must be employment eligible as verified by the U.S. Dept. of Health and Human Services Office of Inspector General (OIG) and the Government Services Administration (GSA).
  • Must pass a pre-employment criminal background check.
  • Fingerprinting, and subsequent clearance, is required.
  • Must provide proof of varicella & MMR immunity or obtain vaccinations within 90 days of employment.
  • Must obtain annual influenza vaccination.
  • If this position is assigned to a clinical area, successful candidate will be required to complete a pre-placement medical evaluation/health screen.  Required N-95 mask fitting, testing, vaccinations to include annual TST, Tdap, and Hepatitis B will be determined based on location and nature of position.

  • Work is normally performed in a typical interior/office work environment.
